Your information
Privacy policy
This explains what information Threeball Society collects, why, who we share it with and what your rights are. We've tried to keep it plain.
Who we are
Threeball Society is run by [legal name of the business, e.g. sole trader name or company name and number], [registered address]. For this policy, we're the "controller" of your information. Contact us at hello@golfclobber.com. ICO registration number: [ICO number].
What we collect
| What | Why | Legal basis |
|---|---|---|
| Your email address | To sign you in with a one-time code and send you notifications | Contract (to run your account) |
| Your profile: first name, photo, town, how far you'll travel, handicap, clubs, when you can play, "about you" | To show you to golfers nearby and match you up | Contract |
| Your town's rough location (the middle of the town, not your address) | To work out distances between golfers | Contract |
| Game requests, chats, messages and tee times | So you can arrange games | Contract |
| Reports and blocks | To keep the community safe | Legitimate interests (safety) |
| Confirmation that you're 18+ and agreed to the rules | To show you're allowed to use the app | Legitimate interests and legal obligation |
| Tournament entries: names, email, mobile, handicap, polo size, dietary needs | To run the event, sort your kit and feed you | Contract. For dietary needs that reveal health information (like allergies), your explicit consent |
| Photos taken at our events | For our social media and website | Consent (you can withdraw at any time) |
| Rounds you post to the Society Feed: course, date, score (you can hide it), balls lost, pints, photos, caption and who you played with | To share your round with other members and run the monthly tables | Contract |
| Open games you host, join, are invited to or are on the waiting list for; the group chat for each game, and whether you’ve muted it | So you can fill a game and sort the details | Contract |
| Whether you'd play with someone again (only our team sees this) | To spot problems early and keep the club friendly | Legitimate interests (safety) |
| Your notification choices: new games near you, and the Thursday weekend games email (on unless you turn them off) | To tell you about games near you that have spaces | Legitimate interests (turn either off any time on the Me screen) |
| A phone notification address for your device, if you turn phone notifications on | To send you a notification when something happens | Consent (turn it off any time on the Me screen) |
| Your email address, if you join our mailing list or the Threeball Pass waiting list | To tell you about drops, events and when the Pass launches | Consent (unsubscribe any time) |
| Who invited you, if you joined from a mate's link | So we can thank the people who bring their mates | Legitimate interests |
| Simple visit counts: which pages and screens are used, phone or computer, and the site that sent you. No names, no IP addresses, and the random id is forgotten when you close the tab | To see what's working and fix what isn't | Legitimate interests |
| Error reports when the app breaks: the error message, the page and your browser type | To fix bugs quickly | Legitimate interests |
We don't use advertising or tracking cookies. The app stores a small sign-in token on your device so you stay logged in. That's essential and needs no consent. Our visit counts don't use cookies either.
Who can see what
- Other golfers can see your profile (first name, photo, town, distance, handicap, clubs, availability and "about you"). They can't see your email address.
- Chats can only be seen by the two people in them. We only look at a chat when someone reports it or we need to for safety or legal reasons.
- People you block can't see you at all.
Who we share it with
We use a few trusted companies to run Threeball Society. They only use your information to provide their service to us:
- Supabase: our database, sign-in and photo storage (data held in London, UK)
- Resend: sends our emails (servers in Ireland; US company)
- Netlify: hosts our website (US company)
- Apple, Google and Mozilla: deliver phone notifications, if you turn them on (just the notification text). In our iPhone and Android apps this goes through Google Firebase Cloud Messaging
- postcodes.io: looks up the town you type in (the search text only; no personal details)
- [Shopify, when the shop opens]
Where information goes outside the UK, we rely on UK-approved safeguards such as the UK International Data Transfer Addendum or the UK–US data bridge. [confirm per supplier]
We never sell your information.
Deleting your account
In the app, go to Me, then Delete my account. Your account, profile, photos, chats and messages go straight away. Can't get into the app? Email hello@golfclobber.com from the address you signed up with and we'll delete everything within 7 days.
How long we keep it
- Your account, profile, chats and messages: until you delete your account. Deleting it (Me → Delete my account) removes them straight away.
- Notification records: 30 days.
- Visit counts and error reports: 90 days.
- If we ban someone, we keep their email address so they can't sign up again.
- Tournament entries: [e.g. 12 months after the event, or longer where needed for accounting].
Your rights
You can ask us for a copy of your information, ask us to correct or delete it, object to how we use it, or ask us to restrict it. You can change or delete most of it yourself in the app. For anything else, email hello@golfclobber.com and we'll reply within a month.
If you're not happy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
Under 18s
Threeball Society is for adults only. If we find out an account belongs to someone under 18, we'll delete it.
Changes
If we change this policy in a way that matters, we'll tell you in the app or by email.
